We couldn’t do what we do without them, and we’re so grateful for everything they do to make our Stylists shine!

One of the most valuable roles a Stylist plays in a Client’s journey with J.Hilburn is not just introducing them to beautiful fabrics and custom clothing, but guiding them through the process with honesty and care. Our business is built on trust, and that trust is reinforced every time we communicate openly, manage expectations realistically, and help Clients feel seen and supported, even when the process is not seamless.

Recently, US Customs has begun implementing new processes at ports of entry. These are federal measures beyond our control, designed to strengthen systems and oversight, but they have introduced some unexpected delays. On occasion, we are seeing shipments held for up to a week beyond the projected arrival date. While these delays do not affect every order, they are significant enough that Clients notice, and how we guide those conversations is critical.

Our Clients come to us with a clear expectation: they are investing in something custom, something made just for them, and that experience must feel elevated from start to finish. When a delivery is late, that expectation can feel compromised. This is where your skill as a Stylist becomes essential. By setting expectations upfront, maintaining open lines of communication, and responding quickly when issues arise, you transform a potential frustration into a demonstration of care.

Here are a few practices we encourage:

  1. Set a realistic tone early. When placing an order, be transparent that while our projected timelines are accurate in most cases, there may occasionally be delays due to US Customs processing. Clients are often understanding when they feel informed rather than surprised.
  2. Stay ahead of questions. If you see that an order is running late, reach out before the Client has to ask. A simple update with reassurance goes a long way toward preserving trust.
  3. Emphasize the bigger picture. Reassure Clients that these delays are not related to J.Hilburn production or service but stem from federal customs processing. Framing it this way helps them understand the distinction and maintains confidence in the brand.
  4. Personalize the care. Every Client wants to feel they are more than just an order number. A quick note acknowledging the delay, coupled with your confidence in the final product, reassures them that their stylist is invested in the outcome.

This is also a moment to remember the power of empathy. While a week may not seem like a long time from a logistical perspective, for a Client preparing for a trip, event, or special occasion, it can feel much longer. Meeting that frustration with understanding rather than defensiveness affirms the relationship and demonstrates professionalism.

Change at the federal level will always be outside of our control, but what remains steady is the role of the Stylist as the Client’s advocate and guide. How you communicate, how you manage expectations, and how you show care in the small details will continue to distinguish J.Hilburn in the marketplace.

Together, we are not just delivering clothing. We are delivering confidence. And sometimes, that means reminding Clients that while Customs may adjust its processes, their trust in us remains unwavering.

DON’T MISS THE 2025 WINTER COLLECTION KICKOFF CALL

MONDAY, OCTOBER 13TH AT 1:00 PM CST

During this call, Simon and Nicole will walk you through all aspects of the Winter Collection, including Key Looks, new styles, fabrics, and options.

Important note on swatches: For those who have earned Winter swatches, you will be receiving them in two shipments to help mitigate customs delays. The first shipment will contain your suiting swatches. Your shirt and casual swatches will be received in a second shipment. 

Be ready to take notes. The call will be recorded and available as soon as possible. 

Attending this call is the best way to equip yourself with essential product knowledge about the new Collection so you can wow your Clients this Winter. 

The 2025 Winter Collection will be available to sell on Tuesday, October 14th.

Fall is here – and the holidays are just around the corner! We strongly encourage you to place your holiday orders as early as possible. For any Clients wishing to place gift orders for the holidays, please refer to the order cut-off dates below. These dates are being offered as guidelines NOT as guarantees. If your Clients order by these dates, it is more likely that they will receive their orders in time for the holidays. Please note that denim is not included in the cutoffs because we cannot guarantee the delivery date this year. 

We’ve created a handy one-page document where you will find details on fabrics, linings, and buttons that are currently unavailable and status updates for replenishment. Please be sure to check the status of items on this list before offering them to your Clients. Click the link below to view the document:

Please remind your Clients that the Loro Piana Capolavoro knit items are Dry Clean Only. Washing at home can cause shrinkage and damage to the garment. Setting clear care expectations helps ensure these luxury pieces maintain their quality and fit.

We’re committed to helping you deliver an exceptional client experience. While we’ve historically shipped orders early or on time, new U.S. customs regulations are causing delays across all carriers.

Now, all shipments, even low-value items, must clear formal customs, creating processing slowdowns outside our control.

What you might see:

  • Packages stuck “in transit” with no movement while in customs
  • UPS tracking showing inaccurate or limited updates
  • Holds lasting a week or longer

We understand this might be frustrating, but please know our team is actively monitoring shipments and working with our partners to minimize delays.

How you can help your clients:

  • Set clear expectations: delivery timelines may be extended.
  • Place orders early to build in buffer time.
  • Rush and Extreme Rush orders are currently not guaranteed.
