  • Appointment Booking Conversation Guide

New Stylist Scripting for Booking New Client Appointments

Let’s start with some best practices. There are 5 elements to any successful appointment booking call or conversation:

    1. Relationship Comes First

Casual conversation based on your relationship to the prospect.  Keep it brief (90 seconds to 3 minutes, depending on your connection to the person) and get to the reason for your call.

    1. Introduction to J.Hilburn – The Overall Value Proposition

“I am a personal stylist with J.Hilburn, a custom menswear brand. I help busy {guys/men/professionals}, like yourself to save time and provide a concierge-level of service by coming to you. Are you familiar with us?”

    1. Your Role as a Stylist — 2-3 Client Benefits
(Refer to page 11 in the Fast Start Guide for the full list of Client Benefits)

“We are not your typical custom clothier. When you shop with me, I help you put looks together for special occasions to what you wear every day. We work together to personalize and style your clothes the way you want them to look. You don’t typically get this attention and service in a department store or online.”

    1. Close for the Appointment

“I’d love to show you what we have to offer. Do you have 30 minutes on {DATE} for me to come out and meet you? We can also meet virtually if you prefer.”

    1. Follow Up and Strengthen Your Professional Connection

“{CLIENT NAME} I am so excited to meet you at {PLACE} on {DAY and TIME}. What is your preferred method of communication? I will send you my contact info, along with an email/text confirmation of our appointment. I will also send you a quick pre-appointment survey and a link to download our Virtual Measuring App for your phone. It’s so helpful if you can do this prior to meeting, as it will save us time when we meet and help me prepare for our appointment.”

    Feeling Nervous About Reaching Out?

Here’s what you can look forward to on the other side of pushing past the nerves and self-consciousness: Working with your Clients to make them look and feel their best just simply feels good. There is nothing better than delivering confidence to a Client, seeing the look on his face, and making him feel like he can take on the world. When this happens, a mutual feeling of trust earned and trust gained emerges. This is when you will see your Client relationships and your overall business take off.

Our Purpose Sums It Up Nicely

“We provide men an effortless, personalized experience for custom-made clothing, with a Stylist, which gives men confidence and makes them feel great.”

  • Our Purpose & Values

    OUR COMPANY PURPOSE

We provide men an effortless, personalized experience for custom-made clothing, with a Stylist, which gives men confidence and makes them look and feel great.

    OUR CORE VALUES

    Trust
We will foster a trust-based culture, where team members feel safe and secure, and where they have clarity on vision and direction. Trust brings out the best in people and inspires creativity, innovation and meaningful work. As Stephen Covey wrote, “Trust is equal parts character and competence…You can look at any leadership failure, and it’s always a failure of one or the other.”

    Excellence
We strive for greatness in everything we do as we differentiate, innovate and go above and beyond to execute every product, interaction and decision with excellence. This sometimes means getting gritty, speaking up and being a change agent. This also means that as we demand excellence, we hold ourselves accountable when we don’t always succeed, and we learn and improve at every turn.

    Win-Win
We are committed to creatively crafting mutually beneficial relationships that result in a win for all stakeholders—Clients, Stylists, Employees and Vendors. Innovative thinking, resourcefulness and problem-solving will create the outcomes that result in success for everyone who contributes to our business.

    Integrity
We will be honest and consistent in our actions, methods, expectations and outcomes. The true definition of integrity is adherence to moral and ethical principles. As leaders, we recognize the impact that we have on others. We are conscious of how our behavior and words impact those around us, both intentionally and unintentionally. Integrity requires humility, authenticity and self-awareness as we interact with others.

    Communication
We are devoted to clear, transparent, thoughtful and reliable communication that is consistent and direct. We understand that communication should come in different forms depending on the audience, and that communication is always a two-way street, which involves the important art of listening. We should seek first to understand and always have positive intent.

    Teamwork
We are a J.Hilburn family and we are in this together. We respect the contributions of others—no matter the title or role—and shoulder to shoulder we work to execute with excellence. Teamwork means we are “all in.” We are accountable to, and supportive of, each other in every task, from start to finish.

    Responsibility
We have a responsibility to do the right thing in every aspect of our business. We’re committed to providing a quality, differentiated experience for our Clients, a thriving workplace for our Stylists and Employees, and a creative partnership with our Vendors. We are committed to environmental sustainability and we prioritize giving back to our communities.

    Love Life
We are passionate about our work as well as our personal lives, and we foster continuous learning and self-improvement. We encourage an environment of fun, personal well-being and enjoying all aspects of living life to the fullest. Was Monet working or playing when he was painting the Water Lilies? He was doing what he loved…and so are we!

  • Digital Appointment: Zoom Tips

If you are accessing this page through School of Style and you want to watch the video tutorials included in this article, you must view this webpage directly through the Newsroom. Go to the Newsroom via the Green Room, then search “How to Use Zoom”, or copy and paste the following link into your web browser: https://newsroom.myjhilburn.com/digital-appointment-zoom-tips/

Getting Started with Zoom to Master the Digital and Virtual Appointment

    1. Create a Zoom Account

Create a free Zoom Account from your Desktop computer: Zoom Signup, or download the app to your mobile device. Free Zoom accounts if your meeting has 3 or fewer members.

    1. Schedule A Meeting:

Once you’ve created an account through Zoom, watch this video explaining how to schedule a meeting between you and your Client: How to Schedule a Meeting in Zoom

    1. Invite your Client to the Meeting:

In the video above, it explains that you can either select a Calendar service to send out an invite to your Client, or you can easily copy and paste a link to the meeting to share with your Client. Just include the link in an email draft you’ve already started for your Client.

    1. Join the Meeting:

When it’s time to start the meeting, you can do either of the following to join:

    • Go to zoom.us, then click Join Meeting and enter the meeting ID, which is included in the email you’ve sent to your Client.
    • Pull up the meeting invite through your Calendar service and find the link there.
    1. Optional: Share your Screen with your Client

Watch this video that explains how to share your screen during the meeting: Sharing Your Screen in Zoom. This feature is especially helpful if you plan to use J.Hilburn.com during the virtual appointment to shop with your Client. Note: If this seems too complicated for you, don’t stress, just skip this step. What works for some Stylists or Clients won’t work for others.

    Basic Troubleshooting Tips:

I can’t hear my Client, or my Client can’t hear me

    • You or your Client may be muted in Zoom. You will need to unmute yourself by clicking “UnMute” in the bottom left corner of your window:

    • You or your Client need to turn on or turn up the volume on your device.
    • If neither of these things solves the problem, please call Fit Advice or Stylist Care for help, or consult with Zoom Support

I can’t see my Client, or my Client can’t see me

    • You or your Client will need to turn on your video camera by clicking “Start Video” at the bottom of the window in the bottom left corner. See the photo below:

    • If this does not solve the problem, please call Fit Advice or Stylist Care to help, or consult with Zoom Support

    Additional Zoom Resources:

Here’s a link to Zoom’s FAQ page: Zoom FAQ

If you need any assistance with completing the steps above, please reach out to Fit Advice or Stylist Care.

  • Digital & Virtual Appointments: Get to know J.Hilburn.com

Use this checklist to prepare for your digital and virtual appointments

    1. Log in to the Greenroom and find your Client’s profile.
    2. At the top right, you will see the following icon which will bring you to your Client’s personal URL on J.Hilburn.com to start the shopping process:

Since you’ve created an account through the Green Room for your Client, you’ll need to send him a link to “reset” his password to become Active

    1. Complete the steps above under “Logging in as your Client on .com”
    2. Click on the icon in top right corner of .com, then click
    3. Click “Forgot Your Password?” so that the Client will be emailed a password reset email to the email address that you used when creating his Green Room account.
    4. Once the Client creates or resets his password, he will then become Active, which links his J.Hilburn.com and Green Room account.

Key Looks can be found under Shop on the J.Hilburn.com home page

If a Client likes a Key Look, you can click on the image, which will take you to a new window with a breakdown of each outfit.

From here, you can shop all items in the outfit by clicking on each to customize and add to your Client’s Cart.

If an item is customized with styling options, make sure to add to your Client’s Cart so that all styling and personalization options will be saved. Adding an item as a Favorite will not save any styling or personalization options.

If your digital appointment is with a new Client, make sure he has gone through TAPE so that he has Product Profiles and so that you can style and personalize each item.

Note: You can do this with existing Client’s closets or with a fake Client ID to practice by making a fake account in your Green Room with a fake email address

To view styling and personalization options for each product category, go to Style Guides from the J.Hilburn home page.

Each page is interactive, so you can select each styling or personalization component to view the available options.

    • Put together a sportcoat and shirt combination and add it to the Client’s closet.
    • Put together a sportcoat and shirt and select the styling options. Add it to the Client’s basket and “send to Stylist”.
    • Find the full list of styling options for each product category.
    • Open multiple products in different tabs on your web browser and practice navigating between multiple tabs.
    • Practice navigating between different product categories.
    • Practice virtual appointments with a member of your team or with someone in your household.
    • Send a Style Board with product suggestions to your Clients.
    • Add a few items to your Client’s closet.
    • Create fake Client Profiles by using a fake email address. (Stylist Care/Fit Advice can help you delete these accounts afterward.)
    • Practice going through TAPE virtually.
    • Practice with Stylist Care and Fit Advice! We are here to help answer any questions and to practice with you. The more you practice, the more confident you will become with virtual appointments.
