    Connect with J.Hilburn – Meeting in a Box

    Connecting with J.Hilburn Meetings is an excellent method to help you expand the number of Potential Stylists in your network. And we want to share the best practices for each part of the Connect with J.Hilburn Meetings. 

    Who is Hosting?

    1. You are the host: You’re bringing together a group of “Connectors” to share about the J.Hilburn Stylist opportunity, so they can identify people they feel would be a good fit for J.Hilburn. You can do it solo or with another Stylist.
    2. You have a friend be the host: You have a ”Connector”, usually someone you know, to bring together a group of people you don’t already know so you can share about the J.Hilburn Stylist opportunity.

    Think of someone you have a very close relationship with who lives In a town that you feel has a lot of potential for J.Hilburn. You may know someone In Birmingham, Michigan; or Scarsdale, New York, or Beverly Hills, California, or Charlotte, NC or Oxford, MS; or Chagrin Falls, Ohio…. You get the point.

    Who do you Invite?

    Plan to have 10 people in attendance. You’ll need to invite 18-20 people.  Small enough to have a good dialogue and discussion.

    • Invite Connectors and/or people you think would make good Stylists
    • Consider the people being invited and what is most convenient for them. Could be a coffee, lite lunch or wine/cheese type gathering.

    7. Hi {CONNECTOR NAME}, I’m reaching out b/c I would like your help. J.Hilburn is doing a nationwide campaign to “get the word out” about the best-hidden secret in menswear. We’re hosting meetings across the US and I’d like you to come to the event I’m participating in on {DATE & TIME} at {VENUE NAME}.  You’re a big supporter of me and my business and I know this meeting will resonate with you and you’ll be able to share ideas and people who you think can grow this business with me. It’s a 30 min meeting with time for Q&A at the end. Can I count on you to be there?

    “It gave me chance to reach out or connect to people who I thought were potentially great for the business but who I knew would benefit from self-selecting themselves. The pressure is off both of us to have a direct conversation, but instead, I’m asking for their opinion and had an industry leader in attendance giving great perspective.  I was happy to reach out to people I hadn’t talked with in years, but who knew I had started my own business but were not tapped into any of the details.     Best Practices – Meeting in a Box

    • Invite at least 2X as many Connectors/Prospective Stylists to the event; about 50% of the invitees will not be able to attend
    • Send individual invitations/texts with plenty of notice
    • Make confirmation calls or send email/text the day before the event
    • Reach out on the day of the event confirming arrangements
    • Test A/V
    • Greet guests
    • Review who will be attending, focus on specific Uniqueness points based upon who is in attendance
    • Make name tags for attendees (use different color markers for Current Stylists vs. Guests)
    • Download the PowerPoint presentation to your phone and run it through to ensure it runs smoothly and that you are prepared to speak to the slides
    • Start on time
    • Welcome guests to the event
    • Facilitate introductions
    • Cover material in the presentation allowing ample time for questions
    • Avoid doing a deep dive in one area, as this can be addressed one on one with a particular guest after the formal presentation
    • Allow time for Q&A
    • End on time
    • Position a J.Hilburn representative at the door to thank your guests for coming
    • Review your guest list and make note of who was in attendance
    • Make notes of questions/comments/follow-up items for each guest
    • Write thank you notes to guests
    • Schedule follow-up conversations as applicable
    • Fill out the Google form for the Event

    Day of the Event

    • Have simple bites & refreshments. Don’t overdo it – coffee, tea, and croissants for the morning or wine and cheese for the early evening    
    • Maybe a simple thank-you gift
    • Have a few garments on hand to show the collection or some fabric swatches.
    • Respect their time – keep meeting to 1 hour.
    • Be sure to leave time for Q&A.

    Running the Meeting – Follow the Presentation

    Meeting Agenda Flow – 1 Hour

    Be sure you introduce yourself 1:1 before officially kicking off the meeting. There will be time to meet everyone before the meeting kicks off. Be sure to hand out your business card/contact card (iPhone).

    1. Introduce yourself, J.Hilburn, and the purpose of why we are all here today – what is Connect with J.Hilburn, and what are we trying to accomplish (5 mins)
      • We are here to grow the market
      • Introduce a new audience to J.Hilburn and the Stylist Role
      • Every man in America deserves a J.Hilburn Stylist
    • Take your time and move through the presentation slowly
    • Engage your audience and ask questions, and gain insight from them during the presentation
    • You are telling a story – make it compelling and show your passion
    • Involve current Stylists in attendance in your answers and use them as examples

    Work the room and introduce yourself to those you did not have the chance to meet yet

    • Get to know each potential Stylist/Connector on a personal level, share your contact information, and get theirs, including their mailing address
    • Confirm you have contact information and mailing addresses for all attendees
    • ADD PERSONAL TOUCH – Send a handwritten card to each attendee and thank them for coming and for their interest in J.Hilburn

    • Add everyone from the Connect with J.Hilburn Meeting you invited into your Potential Stylist Tracker in 3 categories:
      • Current potential
      • Connector 
      • Not now, but maybe in the future
    • Send everyone a thank you text or call for attending.
    • Invite those who seemed interested, asked a lot of questions, or said they had someone in mind for a coffee over the next week or so. 
    • If you were interested, follow up with them and schedule a call with an upline or someone at the home office. It can help them to hear a different voice in the process. 
    • For those that didn’t identify anyone right away, ask them if you could reconnect in a few months and keep up with each other.
    • One great take away for the follow-up coffees is to spend less time focusing on the J.Hilburn business and talking to them about themselves and what they have going on. The right Potential Stylist always eventually asks about the business and what the opportunity looks like.

  • Order Investigation Process

    At J.Hilburn we pride ourselves on continuous improvements in all of our processes, from ordering to garment production and delivery. It is rare, but on occasion errors occur. When an error occurs, we strive to report it to the factory as quickly as possible to determine the cause and improvement steps going forward. As a stylist you are an integral part of this process.

    Styling or Fabric Errors

    If a Stylist  feels there is an error with a client’s order, the first step is to contact Fit Advice. Please be prepared with the following information:

    • Order number and Client information
    • Image of garment tag
    • Photograph of the error. This is a straightforward photograph for styling details errors.

    Fit Advice will review the Stylists error concern. For most cases, it will be necessary to contact the factory to confirm the error before processing the remake. During this process, Fit Advice confirms the order file received by the factory to determine if the error occurred due to human error or a data code issue. This process may take 2 or 3 business days.

    Fit Advice will contact the stylist once the remake has been cleared and approved for production.

     

    Measurement Tolerance Concerns

    We do our very best to sew and construct garments exactly to the specifications every time. With handmade garments, there will be variances between each garment. No two garments will be made identical. If a client is noticing a ¼”-½” difference in his garment measurements the best course of action is often to shift the client out of the lower end of the tolerance range by adjusting the measurement ½” -1”. This prevents the shirt from being made at the too-small measurement.

     

     

    Measurement tolerance is the plus or minus measurement in which a garment can vary from the ordered measurement and still pass quality inspection. Tolerance ranges are decided based on multiple factors including fabric shrinkage and cleaning method. Measurement tolerance ranges are listed in the Fit Library. The Manufacture Quality data listed with your Client’s shipped garments also details the finished garment measurement and the tolerance range for each point of measure.

    When considering garment tolerance, it is important to measure the garment exactly how the factory does. How to measure documents for each category can be found in the Fit Library. The HTM document includes a photograph and written instruction for each measurement point of the garment.

    Reporting a Meassurement Concern

    If you believe your client’s garment may be out of tolerance it is important to contact Fit Advice before laundering the garment. Include the following items in your email.

    1. Client name and order number
    2. A picture of the garment tag
    1. Option 1: A picture of the measurement issue. It is important that this picture is exactly like the photographs in the HTM document. Both ends of the tape measure must be visible. The garment must be as flat as possible and free from wrinkles. Be careful not to stretch the garment while measuring. The factory is very strict on tolerance issue and Fit Advice cannot make an error claim if the photographs are incorrect.
    2. Option 2: After contacting Fit Advice process a remake and ship the garment back to the warehouse. Once the garment arrives the warehouse team will alert Fit Advice. A Fit Advice team member will measure the garment and then contact you with next steps.

    Fit Advice will review your error concern. If a measurement error has occurred the garment will be remade at the correct measurements. If the garment is measuring within spec, FA will reach out to stylist and discuss appropriate changes to remake.

     Fit Advice will contact the stylist once the remake has been cleared and approved for production.

    Established Stylists (Enrolled prior to July 2022)​ – TRACK 1

    How to Qualify:

    • Personal Qualifications
      • Sell $1PV over the same time last year (July 2022-May 2023)
      • Acquire 40 new Clients
    • Team Qualifications
      • 4 personally enrolled Stylists 7/1-5/31/24, sell min combined total of $60,000PV. 
      • 1 Level 1 Stylist advances to Associate Partner for the 1st time during the qualification period.

    New Stylists (July 2022-present) – TRACK 2

    How to Qualify:

    • Personal Qualifications
      • Sell $40,000 PV cumulative from July 2023 to May 2024
      • Acquire 20 new Clients
    • Team Qualifications
      • 2 personally enrolled Stylists 7/1-5/31/24, sell min combined total of $30,000PV. 
      • Promote to Associate Partner or higher during the qualification period

    Earn Elite Gifts along the way:

    FAQs – Growing Elite: Italy Trip 2024

    NO, the sales for each individual New Stylist stands on their own. Once your first New Stylist qualifies with $1500 you will achieve Elite Level 1. Subsequent Elite Level gifts will be earned as you help more Stylists sell more.

    Yes! We will only utilize the volume toward Vietnam/Hong Kong that is necessary to earn the trip and all new stylist volume beyond that total amount will count toward Italy.

    No, the only way to qualify to attend this trip is to personally recruit and help New Stylists have success. The cumulative total of the sales from New Stylists is what qualifies you to travel. More Stylists Earning More is the key strategy to grow the business.

    Yes. Your first New Stylist enrolled July 1-August 15 will count as (2). If your first New Stylist is enrolled after August 16th, there is no additional benefit.

    No, you will have the entire Fast Start period to help them achieve the $1500 in sales.

    Yes, you can earn both! The New Stylist volume contributing to the Growing Elite Vietnam trip will be deducted from the New Stylist volume contributing to the Growing Elite Tour of Italy Trip.

    Yes! Your first new stylist who joins July 1-August 15th will count as (2) new stylists for purposes of Achieving the Growing Elite Levels 1-4 gifts. To travel on the Growing Elite Tour of Italy Trip, you will still need to meet the
